Job Title: Administrator - To support the Training Team

Contract Dates: ASAP - 31/05/2023

Location: Chippenham or Birmingham

Role Definition

We are looking for an Administrator to work for a well established rail company to support the Training Department.

This will be Monday - Friday, 9am - 5pm.

Positions are available in both their Chippenham and Birmingham offices.

Rate will be £12 Per Hour.


Specific Skills/Tasks

  • Organise meetings, collaborating closely with Exec / SMO PAs to ensure necessary attendance

  • Schedule LoA approval meetings and coordinate preparation of required documentation, ensuring necessary quality achieved every time

  • Take meeting minutes and actions as required

  • Support departmental management and managers in day-to-day activities

  • Raising purchase orders

  • Venue and travel booking

  • Organise periodic functional events

  • Establish good working relationships with Bid Coordinators, PAs and Administrators

  • Holiday / sickness cover for other ST&BD admin staff

  • Support facilities management for the Bids & Tendering function, including organising IT

  • Ensure bid documentation version control in place and bid teams are using correct versions

  • Compile report submissions and liaise directly with contributors to ensure timely submission

  • Format bid submissions and other documents

  • Support the production of PQQs as required

  • Administer departmental SharePoint sites

  • Coordinate contract approvals ensuring appropriate authorisations are in place

  • Contract and document archiving both digitally and in Chippenham office

  • Organise translation services, shipping, dispatch of documentation


Competencies

  • Administration experience (minimum 3 years), incl. document formatting

  • Word, Excel & PowerPoint to intermediate level as a minimum, preferably advanced level

  • SharePoint to intermediate level as a minimum, preferably advanced level

  • Good interpersonal skills and collaborative approach – a team player

  • Proactive and able to operate on own initiative with minimal supervision

  • Highly organised and deadline driven, professional working style

  • Able to work with complete confidentiality and with great attention to detail.
